Can I share my Government Gateway ID?

You must never share your Government Gateway user ID and password with anyone. This includes your accountant, tax agent, business partner, or family members. Handing over your login details goes against HMRC rules and puts your personal data at serious risk.

When you are self-employed in the UK, you already juggle a million different tasks. It’s completely understandable to want to hand over your tax admin to an expert and just say, “Here are my login details, you sort it out.”

But while getting help from a professional is a great idea, sharing your Gateway ID is definitely not the way to do it. Here is a simple guide on why you need to keep your account safe and the correct way to get help with your taxes.

Why You Must Keep Your Login Private

Your Government Gateway account is the master key to your financial life. Here is why keeping it to yourself is so important:

  • You are legally responsible: If someone else logs in as you and submits incorrect information or makes a bogus claim, HMRC will hold you responsible. You could be forced to pay back money or face hefty fines.
  • Total access to your life: Your account holds highly sensitive data, including your National Insurance number, tax history, income details, and personal contact information.
  • Scam prevention: Handing out your login makes it much easier for fraudsters to hijack your account, change your bank details, and steal any tax refunds you are owed. In fact, HMRC explicitly warns that a legitimate tax agent will never ask for your Gateway ID.

The Right Way to Get Help: Authorising an Agent

If you want an accountant or tax professional to handle your Self Assessment or VAT, they do not need your login details. Instead, they should use their own special HMRC account (called an Agent Services Account) to connect to yours.

Here is how the proper process works:

  1. They request access: Your accountant will generate a secure digital request or send you a specific link.
  2. You approve it: You log into your own Government Gateway account and click to approve their request. (Alternatively, you can sign a paper form, often called a 64-8 form).
  3. They use their own login: Once linked, your accountant logs in using their own ID to file your returns and speak to HMRC on your behalf.

This method keeps you firmly in control. You can see exactly what they are doing, they only get access to the specific taxes you authorise them for, and you can remove their access at any time with the click of a button.

What to Do if You Have Already Shared Your ID

If you have already handed over your details to someone, don’t panic, but do act quickly to secure your account:

  • Change your password immediately: Log in and update your password right away so the other person can no longer access the account.
  • Check your details: Look over your account settings to make sure your contact information, email address, and bank details haven’t been changed without your knowledge.
  • Set up proper authorisation: Ask your accountant to send you an official agent authorisation request so they can continue doing your taxes legally and securely.

Running your own business is hard work, and paying an expert to handle your tax returns is a smart move. Just make sure you protect yourself and your business by doing it the right way—keep your Government Gateway ID strictly to yourself.
